Minimum Qualifications
This position generally requires a high school diploma or GED and one year of office support, clerical or secretarial work experience. Coursework in a vocational office support or closely related program may substitute for the work experience requirement on a year-for-year basis if it provided the knowledge and skills required performing the duties of the position to be filled.
Requires ability to lift and carry items with a total weight of 50 pounds.
Requires satisfactory completion of the interview process and a verifiable record of satisfactory performance in previous employment.

Summary of Work
Scanning preparation and Imaging of documents
1. Scanning preparation:
1. Receive, sort, and batch mail-in and dealer paperwork in preparation for the imaging process
2. Prepare documents for imaging by removing staples
3. Verify header and corresponding attachments match
4. Redact information not to be scanned
2. Process documents through the imaging scanner
3. Create new batch to scan documents, edit and perform quality review of scanned documents to ensure integrity of the imaging and indexing process, correct any unrecognized headers or header id, and release batches for processing
4. Verify quality and correctness of imaged documents; rescan unacceptable or unreadable documents
5. Review transactions and Filenet to ensure accurate placement of documents
6. Sort turn-around and miscellaneous image documents by date, put them into batches, and scan
7. When requested, retrieve document form files with no images or unreadable documents for review and rescan
8. Clean and maintain imaging equipment daily
Approximately 50 percent of the time is spent on this duty.
Incoming mail processes: Process incoming mail, open, date stamp, sort and route mail to appropriate personnel within Motor Vehicle
1. Receive branch office daily paperwork
1. Open and prepare branch paperwork by distributing special handling paperwork, accounting paperwork, Motor Carrier, etc.
2. Doc Prep Branch paperwork to prepare branch work to be scanned by placing transaction numbers and documents in order by Julian date, branch, and drawer
2. Receive and process the division's unclaimed mail which includes unclaimed license plates, titles, registration card and decal(s), and correspondence; if correct address is obtained, resend item; if address is unobtainable, file the unclaimed mail in the proper place and record alert on record.
3. Doc Prep Branch paperwork to prepare branch work to be scanned by placing transaction numbers and documents in order by Julian date, branch, and drawer
Approximately 30 percent of time will be spent on this duty.
Mailroom Support:
1. Insert registration cards and validation decals in license plate envelopes, affix intelligent barcode, and insert them into the proper sectional sorting center mail sacks for distribution to the United States Postal Service.
2. Insert registration cards and decals in envelopes for mailing
3. Insert miscellaneous batched items for mailing such as over count titles, off highway decals with matching registration card, snowmobile decals with matching registration card, and mobility impaired placards.
4. Assist with unloading shipments of license plates, envelopes, and other supplies delivered to mail room and pick up license plates from Rough Rider Industries.
5. Back-up to mailroom section
1. Process end for day for UPS
2. Generate and print registration cards, titles, and correspondence
3. Generate monthly renewal cards and export file to be printed by DOT Mailroom
4. Pick up mail throughout the Motor Vehicle Division
5. Inventory process - maintain supplies and forms inventory; receive, evaluate, and fill orders for forms, decals, and other supplies; prepare orders for shipping and mailing.
Approximately 10 percent of time will be spent on this duty.
Backup to Support Operations sections: When necessary,
1. Prepare renewals
1. Open and prepare renewal notices for registration processing
2. Includes sending correspondence to customers for corrections when necessary
2. Process surrendered North Dakota titles
3. File and retrieve the following documents for the division:
1. temporary license
2. 2290''s
3. information requests
4. teletype messages
5. unclaimed license plates, titles, registration card and decals
6. correspondence from throughout the division employees
7. Mobile Home Tax Equalization form to be distributed to Tax Department
4. Other duties as assigned
Approximately 10 percent of time will be spent on this duty.
_Duties require:_ lifting up to 50 pounds; ability to carry several items with a total weight of 50 pounds, extended periods of standing and sitting; fingering dexterity, handling dexterity, and wrist motion dexterity; ability to bend and stoop; ability to reach above and below shoulder.
