Minimum Qualifications
Requires an associate degree with major coursework in office support or business oroffice education and one year of work experience performing a variety of office support,clerical, or secretarial work. Additional work experience performing office support,clerical, or secretarial duties may substitute for the education requirement on a year-for-yearbasis.
Preference will be given to applicants proficient in 2010 Microsoft Office Word, Excel, Outlook and PowerPoint, keyboarding, basic personal computer, grammar, and spelling.

Summary of Work
Workforce Development (Training Area): Create and maintain training catalog items, activities, and enrollments in PeopleSoft Enterprise Learning Management System (ELM). Provide ELM registration assistance to participants. Plan, coordinate, and arrange routine and complex training sessions, determining the best date and time and procure meeting rooms, equipment, materials, and video network requests; coordinate and make logistical arrangements and setup; notify meeting participants and provide materials to them. Coordinate registration process, tracking, and set-up for training sessions, webinars, audio conferences, and meetings/conferences. Prepare and process vouchers and registration payments, referencing multiple sources of information and solving any discrepancies. Research assigned activities. Use Internet or other sources for gathering information. Query ELM data and provide training reports to DOT divisions/districts. Train other staff on tasks, methods, and procedures. Provide guidance and delegate work to training coworker. Approximately 55 percent of the time will be spent on this duty.
Rotational Training Program (RTP) and ASE Certification Program: Administer the Rotational Training Program for all new engineers according to job roles in the RTP Manual. Contact engineering supervisors and sponsors for updates and feedback. Monitor the RTP participants progress to keep the integrity of the program. Maintain Excel spreadsheet of participants forms and completion in the Rotational Training Program and order certificates of completion. Administer ASE Certification Program requirements for district shop foremen and technicians. Maintain spreadsheet and monitor certification results and share with HR staff and districts. Employees in this program must follow requirements to advance in grade level of their classification series. Research and respond to questions and issues from HR staff, managers, and employees. Approximately 15 percent of the time will be spent on this duty.
Correspondence/Procedures: Design, create and distribute Training Opportunities Newsletter using MS Publisher software. Link TLN and other course information to the Training Opportunities Newsletter. Code, file, track, and research training documents in FileNet and ELM. Code, proofread, distribute and file correspondence, reports, certificates, and vouchers, requiring application of thorough subject matter knowledge, especially in ELM. Determine, create, update, and maintain procedures for training processes. Approximately 10 percent of the time will be spent on this duty.
Coordinate Department Service Award framed certificates and the Central Office Awards Program: Request certificates and frames and maintain inventory, distribution and tracking of awards certificates, 25 year plaque/letter distribution. Coordinate the Central Office Annual Awards Program; set up committees, attend meetings. Maintain retirement listing for Central Office Awards Program. Approximately 10 percent of the time will be spent on this duty.
Training Resources Library: Manage Training Library; coordinate checkout/check-in of all library materials. Coordinate checkout/check-in of HR equipment; perform physical inventory. Approximately 5 percent of the time will be spent on this duty.
Contract Management: Create training contracts, using Contract Solutions software and processes, including the determination of which contract template to select; distribution, tracking and payment. Approximately 5 percent of the time will be spent on this duty.

The check will bounce and the victim is left responsible.
